Rent Manager accounting: Trust, owner statements and month-end
The short answer
Rent Manager handles trust accounting, owner statements and month-end close natively, as a true double-entry accounting system rather than a property tool with bookkeeping bolted on. It runs accounts payable and receivable, a general ledger, bank reconciliation and property-level tracking, with cash and accrual views available at the same time. The catch: that depth only pays off if the work around it, especially trust funds, owner statements and the close, gets done consistently.
A portfolio that balances at the bank level can still have one property's owner ledger sitting negative, funded by another owner's cash in the same pooled account. Rent Manager can surface that detail. Someone still has to run the report, investigate it and clear it before money moves.
This post covers what Rent Manager's accounting actually handles, a worked example of how a clean-looking reconciliation can hide a real problem, and the month-end sequence that catches it. It's part of our complete guide to property management accounting, and for how Rent Manager compares with AppFolio, Buildium and Yardi, see our hub on bookkeeping that works with AppFolio, Buildium and Yardi.
Rent Manager's accounting system
Rent Manager describes itself as a complete double-entry accounting system, and its own accounting page backs that up: a full AP/AR cycle, electronic deposits, bill payment by card with electronic reconciliation, and Balance Sheet, General Ledger and P&L reports generated on demand in both cash and accrual bases from the same data (Rent Manager). Running both bases simultaneously matters when different owners or lenders want different views of the same portfolio.
Bank reconciliation runs through Bank Sync, Rent Manager's electronic reconciliation feature: connect your bank and card accounts (via Plaid) and real-world transactions appear in Rent Manager for matching instead of a line-by-line manual comparison (Rent Manager). Two details worth knowing before you rely on it: Bank Sync is only available on Rent Manager Plus and Premium, and it's built for Rent Manager Express, the web-based product, so confirm it's available if you're running the desktop version.
For tax season, Rent Manager supports electronic 1099 filing through the IRS FIRE system, pulled from the same vendor payment data the AP module already tracks.
Trust accounting inside Rent Manager
Property managers hold other people's money. Rent Manager's property-level general ledger and the owner and tenant ledgers it maintains give you the structure trust accounting requires: operating activity, owner funds and security deposits can be tracked separately, and you can reconcile at a level deeper than the pooled bank balance.
That structure still has to be used the way trust accounting requires it. A proper monthly process follows the same three-way logic regulators and auditors check in this industry generally, not something unique to Rent Manager:
Bank statement balance, adjusted for outstanding items
Book, or general-ledger, cash or trust balance for the same date
Sum of the individual owner, tenant and deposit ledgers
All three have to agree. A portfolio that balances at the bank level while one property's sub-ledger sits negative isn't reconciled, it's masked. Rent Manager can surface that detail in its reports; someone still has to run them, investigate the difference and clear it before a distribution or management-fee sweep moves money.
Security deposits deserve the same discipline: keep them isolated from operating cash and tied to the correct units and owners. Mis-posted deposits are one of the most common sources of cleanup work later.
Owner statements that owners can trust
Owner statements are the visible product of the accounting process. Rent Manager generates them from the same data that drives the ledgers and financial reports, which is an advantage only when the underlying numbers are current and correct.
A reliable statement cycle usually includes:
Confirming every receipt and expense for the period is posted and coded to the right property
Completing bank and trust reconciliations so the cash position is actually known
Reviewing each owner's activity for obvious errors or missing items before the statement goes out
Calculating and documenting the distribution or reserve amount from reconciled balances, not from activity that hasn't cleared
When statements are produced from incomplete or unreconciled data, managers spend time after the fact explaining variances they could have caught beforehand. When the close happens first, statements tend to raise fewer questions and the owner relationship stays smoother.
Worked example: a clean reconciliation that hides a real problem
A manager holds trust funds for four owners in one pooled account. At month-end, the bank statement shows $56,000, and the trust ledger in Rent Manager also shows $56,000. The bank-to-book reconciliation ties out. Nothing looks wrong.
Owner | Sub-ledger balance |
|---|---|
Owner A | $21,400 |
Owner B | $19,800 |
Owner C | $15,300 |
Owner D | minus $500 |
Total | $56,000 |
Owner D is negative. A $500 repair invoice for one of Owner D's units got coded to the wrong property during a busy week. The pooled total still matches the bank, because the other three owners' funds are effectively absorbing the shortfall. A bank-level reconciliation alone has no way to catch this; it only checks the total, not each owner's share of it.
The only control that surfaces this is step 3 of the three-way logic above: summing the individual owner ledgers and confirming none of them is negative before any distribution goes out. Caught the same month, it's a five-minute correcting entry. Carried forward two or three months, it's layered under new transactions and takes real investigation to unwind.
What a solid month-end looks like
Month-end in Rent Manager is less about one report and more about a short, repeatable sequence:
Post remaining batches and clear obvious exceptions.
Reconcile operating, trust and deposit bank accounts to the statement date. Bank Sync speeds up the matching step on Plus and Premium plans in Rent Manager Express; exceptions still need a person to review them.
Tie the general-ledger cash activity to the same date.
Confirm that the sum of owner, tenant and deposit ledgers equals the reconciled book balance, the check that catches a case like Owner D above.
Review and release owner statements and any scheduled distributions.
Lock or document the period so later changes are controlled.
Firms that treat this as a checklist close faster and with fewer surprises. Firms that skip steps or carry exceptions forward eventually face a bigger cleanup, or an uncomfortable conversation with an owner or regulator.
What users say
Across hundreds of verified reviews on Capterra and G2, Rent Manager holds a strong reputation: Capterra lists it at 4.6 out of 5 across more than 600 reviews, and G2 reviewers rate its support quality at 9.6 out of 10 (Capterra; G2).
Pros | Cons |
|---|---|
Deep, genuine accounting that closes gaps some users hit trying to run books through QuickBooks alone | Steep learning curve, named among the most-cited drawbacks in G2's own breakdown |
Customer support rated 9.6/10 on G2, called responsive and patient with less technical users | System complexity, cited alongside the learning curve as a top complaint |
Outdated interface noted by multiple reviewers | |
Slow report generation for some users | |
At least one detailed account of bugs in the newer web-based RMX platform |
The praise concentrates on two things: the depth of the built-in accounting, which several reviewers say closes gaps they'd hit trying to run property books through QuickBooks alone, and the customer support team, repeatedly singled out as responsive and patient with less technical users.
The criticism concentrates just as consistently on one thing: the learning curve. G2's own pros-and-cons summary flags Learning Difficulty and Complexity among Rent Manager's most-cited drawbacks, and Capterra's reviewer-based verdict tells prospective buyers to weigh that curve against the platform's flexibility before committing. Specific complaints layered on top of that theme include an outdated interface, slow report generation for some users, and at least one detailed account of bugs in the newer web-based RMX platform.
None of this contradicts what the accounting page promises; it's consistent with it. A platform built around genuine double-entry accounting, user-defined fields and 450-plus reports has real depth to learn, and that's exactly where a specialist who already knows the system earns their keep.
Where outside support usually helps
Rent Manager gives capable operators the tools they need. Outside bookkeeping becomes useful when:
Reconciliations are consistently late or incomplete
Owner statements need manual adjustments every cycle
Property-level or owner-level balances don't reliably support the distributions going out
Transaction volume has outgrown the time available for careful coding and exception clearing
The management team wants to stay focused on operations instead of living in the general ledger
In those situations, a specialist who works directly inside Rent Manager can own the daily coding, bank and trust reconciliations, statement preparation and month-end close. The platform stays the system of record; the process becomes consistent.
How Numetix works with Rent Manager
We support property managers who run Rent Manager by working inside their existing instance, not by exporting everything to a parallel system. AI handles transaction matching and categorization; a CPA-overseen finance team owns the reconciliations and the close.
Typical scope includes correct coding of receipts, payables and fees to property and account; monthly bank, trust and deposit reconciliations with exception resolution; the owner-level tie-out shown in the example above, so bank, book and individual owner ledgers actually agree; review of owner statements against reconciled ledgers before distribution; and a standardized month-end close.
A practical first step: send us last month's trust reconciliation and your owner-level sub-ledger totals for the same date. We'll show you whether they tie out, and if not, which owner's balance needs attention. Book 30 minutes with our team. More on how Numetix serves property management companies.
Frequently asked questions
Is Rent Manager a true double-entry accounting system? Yes. Rent Manager's own accounting page describes a full double-entry system with AP/AR, a general ledger, and reporting available on both cash and accrual bases at the same time.
What is Bank Sync in Rent Manager? An automated electronic bank reconciliation feature for Rent Manager Express that connects your bank and card accounts via Plaid so transactions appear in Rent Manager for matching. It's available on the Plus and Premium plans.
Can a bank reconciliation in Rent Manager miss a problem with owner funds? Yes. A bank-to-book reconciliation checks the trust account total against the bank statement. It won't catch one owner's sub-ledger going negative while the pooled total still balances, which is why summing individual owner ledgers is a separate, required step.
Does Rent Manager handle 1099 filing? Yes, through electronic filing with the IRS FIRE system, using the vendor payment data already tracked in accounts payable.
How often should the three-way reconciliation be run? Monthly, at minimum, and before any distribution or management-fee sweep moves money out of the pooled trust account.
Does outside bookkeeping mean moving off Rent Manager? No. A specialist can work directly inside your existing Rent Manager instance rather than exporting data to a separate system.
