Yardi Breeze accounting: What it handles and when you need outside bookkeeping

The short answer

Yardi Breeze includes a real general ledger, accounts payable and receivable, bank reconciliation, trust and security-deposit tracking, and owner statements, built for property portfolios rather than bolted onto a generic accounting tool. That depth is genuine. It still depends on someone coding every transaction correctly, clearing exceptions on schedule, and tying out every owner's balance before money goes out the door.

Outside bookkeeping becomes worth it at a few specific, recognizable points, not at a fixed unit count: reconciliations start slipping, owner statements need manual cleanup before they go out, or trust and deposit accounting feels uncertain month to month.

This post covers what Breeze and Breeze Premier actually handle, where the gaps show up even when the portfolio looks fine at a glance, and the signals that it's time to bring in focused support. It's part of our complete guide to property management accounting, and for how Yardi Breeze compares with AppFolio and Buildium specifically, see our hub on bookkeeping that works with AppFolio, Buildium and Yardi.

What Yardi Breeze accounting covers

Breeze (and Breeze Premier) builds property accounting into the same system that handles leasing, tenants and maintenance, rather than treating it as a separate export destination.

In Breeze:

  • A property-level general ledger with accounts payable and receivable (Yardi Breeze; Capterra)

  • Built-in bank reconciliation

  • Trust and security-deposit tracking. Yardi's own guidance frames Breeze as built to help property managers stay compliant with trust accounting rules, through automated reconciliation, client-level tracking and built-in controls (Yardi Breeze)

  • Owner statements and financial reports generated inside the system

  • 1099 preparation. One long-time Breeze customer, interviewed on Yardi's own site, credits it with saving real time at tax season by pulling vendor payment data straight into 1099 reports (Yardi Breeze)

Breeze Premier adds: corporate-level accounting on top of property accounting, job cost tracking, batch processing, more customizable financial reporting, and tighter general-ledger controls (Yardi Breeze Premier brochure). Premier also carries Smart AP, Yardi's AI invoice-processing tool, which one 2026 vendor comparison lists as rolling out through the platform that year (AI Tools Bakery); confirm current availability, since AI feature rollouts move fast.

For many residential and simpler commercial portfolios, this is enough structure to keep books in one system instead of splitting work between a property tool and a separate ledger. Transactions post to the right property when coded correctly, owner statements pull from the same data, and reconciliations run without exporting everything to a spreadsheet first.

What the software does not do by itself

Yardi Breeze records what's entered and generates the reports its structure supports. It doesn't replace judgment or consistent process. Someone still has to:

  • Code every rent receipt, vendor bill and fee to the right property, unit and account

  • Investigate and clear bank-feed exceptions rather than carrying them forward

  • Perform and document monthly bank and trust reconciliations

  • Review owner statements against the underlying ledgers before they go out

  • Confirm that security deposits and other trust funds stay properly segregated

  • Close the month so reports reflect a complete, reconciled period

The failure mode is usually subtle rather than dramatic. The portfolio balances. The bank reconciliation looks clean at a high level. But one owner's sub-ledger sits negative, funded by another owner's cash in the same pooled account. Or a distribution gets calculated from numbers that were never fully tied out. These problems rarely announce themselves until an owner questions a statement or a regulator asks for client-level records. Breeze gives the structure to prevent this. It doesn't force the daily discipline that keeps the structure accurate.

A worked example: how a clean reconciliation hides a real problem

A property manager holds trust funds for three owners in one pooled trust account. At month-end, the bank statement shows $42,000, and the trust ledger in Breeze also shows $42,000. The reconciliation ties. On paper, everything is fine.

Owner

Sub-ledger balance

Owner A

$18,500

Owner B

$24,200

Owner C

minus $700

Total

$42,000

Owner C is negative. A $700 maintenance invoice for one of Owner C's units was coded to the wrong property during a busy week, and nobody caught it before the bank reconciliation ran. The trust account total still matches the bank, because Owner B's funds are effectively covering the shortfall; Breeze's bank reconciliation has no way to flag that, since it only checks the total against the bank, not each owner's slice of it.

This is exactly the kind of thing a monthly owner-level tie-out catches and a bank-level reconciliation alone does not. Left for a quarter, the fix gets harder: more transactions have layered on top of the error, and the person investigating it has less context on what happened.

When outside bookkeeping starts to make sense

Outside support isn't required on day one. Many small operators run Breeze successfully on their own. The tipping point is usually operational, not a specific unit count.

Reconciliations are falling behind. One missed month is recoverable. Two or three turn into a cleanup project that costs far more than steady monthly work would have.

Owner statements need cleanup before they go out. If every distribution cycle involves manual adjustments or a spreadsheet check outside Breeze, the process is already fragile.

Transaction volume has outgrown available hours. Growth multiplies receipts, invoices and exceptions. The person who once closed the books in a few hours now needs days, or simply stops keeping up.

Trust or deposit accounting feels uncertain. Property managers hold other people's money. If owner-level tie-outs aren't happening reliably every month, as in the example above, the risk is regulatory as well as operational.

The team spends more time on accounting than on properties. When coding, exception-clearing and statement prep crowd out leasing and owner relationships, the economics of outsourcing usually improve.

You're preparing for growth, a sale, or more formal reporting. Clean, current books inside Breeze make due diligence and owner conversations far simpler.

In these situations, a specialist who works directly inside your existing Yardi Breeze environment, rather than exporting everything to a separate system, can own the daily coding, reconciliations and month-end close while your team stays focused on the portfolio.

How Numetix approaches Yardi Breeze bookkeeping

How Numetix Approaches Yardi Breeze Bookkeeping

We work inside your existing Yardi Breeze or Breeze Premier environment. The goal isn't a parallel set of books; it's keeping the platform's own ledgers accurate, reconciled and ready for owner reporting or review. AI handles transaction matching and categorization; a CPA-overseen finance team owns the reconciliations and the close.

Typical support includes correct coding of receipts, payables and fees to property, unit and account; monthly bank and trust reconciliations with exception investigation, down to the owner level shown in the example above; review of owner statements against the underlying ledgers before distribution; month-end close; and cleanup work when prior periods have drifted.

A practical first step: send us last month's trust reconciliation and your owner-level sub-ledger totals for the same date. We'll show you whether they tie out, and if not, which owner's balance is off. Book 30 minutes with our team. More on how Numetix serves property management companies.

Frequently asked questions

Does Yardi Breeze handle trust and security deposit accounting? Yes. Yardi's own guidance describes Breeze as built to help property managers stay compliant with trust accounting rules, with automated reconciliation and client-level tracking. The three-way, owner-level check behind that reconciliation still needs a person to run it.

What's the difference between Yardi Breeze and Breeze Premier for accounting? Breeze covers core property accounting: general ledger, AP/AR, bank reconciliation, trust tracking and 1099 prep. Breeze Premier adds corporate-level accounting, job cost tracking, batch processing, more customizable reporting and Smart AP, its AI invoice-processing tool.

Does Yardi Breeze include 1099 preparation? Yes. Breeze generates 1099 reports from vendor payment data, which customers describe as a meaningful time saver at tax season.

Can a bank reconciliation in Breeze miss a problem with owner funds? Yes. A bank reconciliation checks the trust account total against the bank statement. It won't catch one owner's sub-ledger going negative while the total still balances, which is why an owner-level tie-out is a separate, necessary step.

At what portfolio size should a property manager consider outside bookkeeping? There's no fixed unit count. The signal is usually operational: reconciliations slipping, owner statements needing manual cleanup, or the team spending more time on accounting than on the portfolio.

Does outside bookkeeping mean moving off Yardi Breeze? No. A specialist can work directly inside your existing Breeze or Breeze Premier environment rather than exporting data to a separate system.
