Owner Statement
What is an owner statement?
An owner statement is the monthly report a property manager sends each property owner showing income collected, expenses paid, management fees charged, reserves held, and the amount disbursed. It is the primary deliverable of a property management relationship and the document owners judge the manager by. Statements that are late, inconsistent, or hard to follow generate more client complaints than almost anything else a manager does.
What a statement needs to show
Beginning cash, rent and other income collected, itemized operating expenses with payee detail, management and leasing fees, any reserve withheld, and ending cash disbursed. Owners want to see invoices behind maintenance charges above a threshold. Where an owner holds several properties, give a per-property breakdown plus a portfolio summary, because owners reconcile property by property even when they are paid in one transfer.
Closing the books before statements go out
A statement is a mini month-end close. Rents must be fully posted, bills entered, management fees calculated, and the trust account reconciled before anything is sent. Managers who send statements before reconciling spend the following week issuing corrections. Set a fixed calendar date, work backward to a cutoff for expense entry, and hold the line, since owners tolerate a known date far better than an unpredictable one.
