Management Fee Calculation
What is a management fee calculation?
A management fee calculation is how a property manager determines the fee earned from each owner each month. Most agreements set a percentage of collected rent, though flat per-door fees and hybrid structures are common. Leasing fees, renewal fees, maintenance coordination fees, and setup fees are usually separate. The calculation sounds simple and is one of the most frequent sources of owner disputes.
Collected versus billed, and what else counts
A fee on collected rent and a fee on billed rent produce different numbers whenever a tenant is late, and the agreement decides which applies. Then there is the question of what counts as rent: do late fees, pet rent, utility billbacks, and application fees fall inside the fee base or outside it? Many agreements are silent, and silence favors the owner in a dispute. Spell out the base and apply it the same way for every owner.
Keeping fees defensible
Calculate fees from system data rather than by hand, and show the calculation on the owner statement so the owner can verify it. Where a manager keeps ancillary income such as late fees entirely, disclose it in the agreement rather than burying it. Review the fee base annually against the signed agreements, because fee logic configured once and never revisited drifts as agreements are amended one owner at a time.
