Matter Opening

What is matter opening?

Matter opening is the process of formally creating a new client matter or project in your firm's systems after the engagement is accepted. This includes assigning a matter number, setting up billing parameters, establishing the project team, and entering key dates and deadlines. Proper matter opening ensures time gets billed correctly, conflicts are tracked, and nothing falls through the cracks from day one.

Record the client name, matter description, responsible attorney or partner, and working team members. Enter the fee arrangement, billing rates, and any caps or discounts. Note the estimated budget and key milestones. Input opposing parties and related entities for ongoing conflict screening. Set up matter-specific billing codes if required. Capture client billing preferences and any outside counsel guidelines that apply.

Time entries and expenses need valid matter numbers to be billed. Open matters promptly so work can be recorded from the start. Delayed matter opening leads to unbillable time or reconstruction of entries later. Link the matter to the signed engagement letter for reference.
