What is account cleanup?

Account cleanup is the process of correcting errors, resolving discrepancies, and organizing messy accounts in your accounting system. Cleanup addresses uncategorized transactions, incorrect account assignments, unreconciled balances, and duplicate entries. The goal is accurate, current books that produce reliable financial statements and support tax preparation without last-minute scrambling.

Signs you need account cleanup

Bank accounts that have not been reconciled in months. Large balances in uncategorized or ask my accountant accounts. Accounts receivable show invoices that were paid long ago. Negative balances where they should not exist. Financial statements that do not match reality. If your books feel unreliable or your accountant frequently finds errors, cleanup is overdue.

The cleanup process

Start with bank reconciliation to establish cash accuracy. Then work through each balance sheet account, verifying balances against supporting documentation. Reclassify transactions in the wrong accounts. Research and resolve unknown items. Clear suspense accounts. Finally, review profit and loss for reasonableness. Cleanup is detective work requiring patience and attention to detail.
