System Conversion
What is system conversion?
System conversion is the complete process of switching from one business system to another, encompassing data migration, workflow changes, user training, and go-live execution. While data migration is a component, system conversion addresses the broader organizational change. Success requires not just moving data but ensuring people can work effectively in the new environment.
Timing the conversion
Convert at natural business breaks when possible. Many businesses switch accounting systems at year-end to start fresh with clean annual records. Payroll conversions often happen at quarter-end to simplify tax reporting transitions. Avoid converting during busy seasons when staff cannot absorb learning curves. Plan the go-live for early in the week so issues can be resolved before the weekend.
Post-conversion stabilization
The first month after conversion requires extra attention. Processes will not work perfectly initially. Users will have questions. Data issues will surface that testing missed. Plan for higher support needs during stabilization. Schedule extra check-ins with your accountant or system provider. Do not schedule the conversion and assume you are done when go-live happens.
