What is supporting documentation?

Supporting documentation is the evidence that substantiates entries in your accounting records. Receipts, invoices, contracts, bank statements, and payroll reports all serve as supporting documentation. This evidence proves transactions actually occurred as recorded, supports tax deductions, and provides audit trails. Without supporting documentation, entries are unverifiable assertions.

What documentation to keep

Keep receipts for all business expenses, especially those claimed as tax deductions. Retain invoices issued and received. Save bank and credit card statements. Keep payroll reports and tax filings. Preserve contracts and agreements. For each transaction, you should be able to answer who, what, when, where, why, and how much with the supporting documents.

Paper files organized by month and category still work but require physical storage. Digital systems allow search and remote access. Scan and upload receipts immediately. Use consistent naming conventions. Link documents to transactions in your accounting software. The goal is retrieval within minutes when needed for audit, tax questions, or dispute resolution.
