Sick Leave Accrual

What is sick leave accrual?

Sick leave accrual is the process by which employees earn paid sick time based on hours worked or time employed. Many states and cities mandate sick leave accrual, typically one hour of sick leave for every 30 to 40 hours worked. Accrued sick leave represents a liability on your books until used or, in some jurisdictions, paid out upon termination.

Tracking accrual and usage

Payroll systems track accrual automatically based on hours worked. Set accrual rates and caps per your policy or applicable law. Record usage when employees take sick time. Provide balances on pay stubs where required. Maintain records showing accrual, usage, and carryover. Proper tracking prevents disputes and demonstrates compliance if audited.

State and local mandate complexity

Requirements vary significantly by location. California, New York, and many cities have their own rules for accrual rates, caps, carryover, and eligible uses. Remote employees may be covered by their location's law, not yours. Review requirements for every jurisdiction where you have employees. Multi-state employers face significant compliance complexity.
