What is retainer billing?
Retainer billing is a payment arrangement where clients pay upfront for a block of services or guaranteed availability. Common in law firms, consulting practices, and creative agencies, retainers provide predictable revenue and client commitment. The retainer may be applied against hourly work, cover a monthly scope, or reserve your availability regardless of actual usage.
Types of retainer arrangements
Replenishing retainers require topping up when the balance drops below a threshold. Non-refundable retainers recognize revenue when received. Hourly retainers deduct time from the prepaid balance. Fixed-fee retainers cover a defined scope each month regardless of hours spent. Each type has different accounting treatment. Match your arrangement to how you actually deliver services.
Accounting for retainer payments
Record retainer receipts as liabilities until earned. For hourly retainers, recognize revenue as you perform work and bill against the balance. For fixed-fee retainers, recognize revenue ratably over the service period. Unused balances at the end of an engagement may be refundable or forfeited depending on your agreement. Clear terms prevent disputes about what happens to remaining funds.
