Past Due Notice

What is a past due notice?

A past due notice is a reminder sent to customers that their invoice payment is overdue. It states the invoice number, original amount, due date, and current balance including any applicable late fees. Past due notices are typically the first step in the collection process before more formal collection letters. They often resolve overdue balances by simply bringing the matter to the customer's attention.

Timing and delivery

Send the first past due notice shortly after the due date, typically within five to seven days. Many accounting systems can automate these reminders. Email delivery provides immediate notice and documentation. Follow up with additional notices at regular intervals if payment is not received. Each notice should be slightly more urgent than the last while remaining professional.

What to include

Reference the specific invoice number and original due date. State the amount now due including any late fees or interest per your agreement. Provide clear payment instructions. Include contact information for questions. Mention next steps if payment is not received, such as service interruption or escalation to collections. Keep records of all notices sent in case disputes arise later.
