Billing Narrative
What is a billing narrative?
A billing narrative is the written description accompanying time entries on client invoices. It explains what work was performed, why it was necessary, and what value it provided. Strong billing narratives help clients understand their invoices and reduce disputes. Weak narratives filled with jargon or vague descriptions invite questions and write-down requests.
Writing effective billing narratives
Be specific about what you did. Instead of reviewing documents, say reviewed vendor contract for indemnification provisions and identified three areas requiring negotiation. Explain why the work mattered to the client's goals. Avoid abbreviations and internal codes clients will not understand. Group related tasks logically. The narrative should tell a story of progress, not just list activities.
Billing narratives and client relationships
Clients who understand their bills pay them faster and complain less. Detailed narratives demonstrate value and justify fees. They also create a record if disputes arise later. Some corporate clients require specific narrative formats or prohibit certain descriptions like vague review or attention to. Know your clients' billing guidelines and train timekeepers to follow them from the first entry.
