Which outsourced bookkeeping works with Function Point, Workamajig, Productive and Teamwork?

The short answer

Creative and marketing agencies run jobs, retainers, and time in an agency OS. The general ledger still has to show real revenue, AR, media or production pass-throughs, and cash. Function Point, Workamajig, Productive, and Teamwork each connect to accounting differently. Outsourced bookkeeping works when the agency bills from the operational system and the bookkeeper reconciles invoices and bank activity in QuickBooks, or another GL, not when someone rebuilds every job from the bank feed alone.

Quick reference

Platform

Role in the agency

Typical path to the books

What bookkeeping still owns

Function Point

Agency project and financials oriented to creative work

Native QuickBooks integration, confirmed by Function Point's own QuickBooks ProAdvisor and Gold Developer status; invoices and expenses prepared in FP and moved to QuickBooks

Bank rec, payroll, mapping quality, non-job GL activity

Workamajig

Full agency operations, with an optional deeper internal accounting module

Internal GL setup and posting workflows; QuickBooks typically reached through Zapier-style automation, not one universal native story

Deciding whether WMJ or QuickBooks is the actual system of record; WIP options; month-end posting discipline

Productive

Agency OS: budgets, resourcing, billing

Sends invoices to QuickBooks Online; payment status can sync back; expenses, confirmed directly by Productive's own help docs, do not sync at all

AR tie-out, retainers versus project invoices, expense coding, payroll and AP outside Productive entirely

Teamwork

Project delivery plus billing features

Basic plans export project invoices to QuickBooks; the Advanced integration, gated specifically to Grow and Scale subscriptions and enabled per project, syncs billable time in real time

Ensuring time is actually approved and billed; cash and the full close live in QuickBooks

Function Point

Function Point is built around agency estimating, jobs, and billing, with QuickBooks positioned as the accounting companion from the start. Function Point's own history confirms how serious this integration is: its support team holds QuickBooks ProAdvisor certification, and the company itself is a QuickBooks Gold Developer, a status Intuit grants to a limited set of deeply integrated partners. Agencies generate client invoices in Function Point and sync posted invoices and expenses to QuickBooks so operations and the ledger stay aligned without re-keying every invoice by hand. Both Desktop and Online paths exist, with a dedicated sync tool called fp.Accountant specifically for the handoff.

Bookkeeping focus: job versus retainer income, billable versus non-billable time, and clean customer and item maps so the agency's own P&Ls in Function Point still match the statements in QuickBooks.

Workamajig

Workamajig

Workamajig is a long-standing agency platform with project, traffic, and an accounting module genuinely capable of replacing a separate ledger, confirmed across Workamajig's own positioning: the accounting module handles invoices and AP, links bank and credit card accounts, and complements project-level budget tracking and financial reporting. Some agencies run substantial financials inside Workamajig itself; others keep a separate GL and connect through integrations or automation instead. No single universal native QuickBooks story exists here, worth being direct about: the common connector path is Zapier-style automation rather than a first-party, built-in sync.

Bookkeeping focus: document explicitly which system posts the official GL. Dual posting is the main failure mode on this platform. If WIP tracking is turned on, reconcile it deliberately; if QuickBooks is the actual ledger, treat Workamajig purely as the billing source of truth for jobs.

Productive

Productive combines budgets, time, and invoicing for digital agencies, and its own help center is precise about what the QuickBooks Online integration actually does: "this integration enables you to send invoices from Productive to your QuickBooks Online account," with an optional toggle to sync payment status back from QuickBooks to Productive once a payment lands (Productive). Here's something worth correcting directly, since it changes what a firm should expect: Productive's own documentation states plainly, "note that the integration doesn't support syncing expenses generated in Productive." Expenses created inside Productive stay inside Productive; they don't flow to QuickBooks through this integration at all, however the budget or expense feature is used on the Productive side.

Bookkeeping focus: retainer and budget burn versus invoices actually issued; since expenses don't sync, build a separate, deliberate process for getting agency expense activity into QuickBooks rather than assuming the integration handles it; and avoid counting Productive's own budget figures as GL revenue until something is actually invoiced, unless the firm accrues under a written policy.

Teamwork

Teamwork centers on project delivery, and its basic QuickBooks Online integration supports exporting project invoices into QuickBooks. The deeper Advanced integration goes further, and Teamwork's own documentation is specific about exactly who gets it: "available on Grow and Scale subscriptions," syncing billable time logs into QuickBooks automatically and in real time so invoices can be built from actual time data, duration, rates, tasks, and projects included (Teamwork). The integration has to be enabled per project, not account-wide, and time logs created before it's turned on aren't automatically synced; they have to be added manually afterward.

Bookkeeping focus: approved billable time that never becomes an invoice is WIP leakage, plain and simple. QuickBooks remains the actual books; Teamwork only feeds time and invoices into it.

What users say

Teamwork stands well apart from the other three on both review volume and score: 4.4 out of 5 on G2 across roughly 1,200 reviews, and 4.5 out of 5 on Capterra across a similarly large base of around 932. Productive runs the highest raw rating of the four, around 4.6 out of 5, but on a notably smaller base of roughly 108 to 109 reviews, worth treating as a less statistically settled figure than Teamwork's. Function Point and Workamajig sit closer together: Function Point around 3.8 to 3.9 on G2 and 4.3 on Capterra, Workamajig at 3.8 on both G2 and Capterra, with a larger review base (around 282 to 351) than Function Point's roughly 192 to 193. G2's own comparison data points to a specific, sourced theme: Function Point scores notably higher than Workamajig on quality of support (8.6 versus 8.1) and on ease of task creation, while reviewers describe Workamajig as more cumbersome for new users in that same comparison.

Pros

Cons

Function Point: strong, specifically sourced QuickBooks integration reputation (ProAdvisor-certified support, Gold Developer status); notably high support satisfaction (8.6/10 on G2)

Function Point: lower overall G2 score (3.8-3.9/5) than Teamwork or Productive

Workamajig: genuinely capable internal accounting module that can replace a separate GL for agencies that want that

Workamajig: lowest-rated of the four on both aggregators (3.8/5 G2 and Capterra); reviewers describe it as more cumbersome for new users than Function Point

Productive: highest raw rating of the four (~4.6/5); clean, modern invoice and payment sync to QuickBooks Online

Productive: expenses do not sync to QuickBooks at all, confirmed directly by Productive's own documentation; smallest review base of the four (~108)

Teamwork: by far the largest and highest-rated review base of the four (4.4-4.5/5, 900+ reviews on each aggregator); real-time billable-time sync on Advanced

Teamwork: the real-time billable-time integration is gated to Grow and Scale subscriptions specifically, not included on lower plans

Shared agency failure mode

One month for a mid-size agency:

Line item

Amount

Retainer invoices

$95,000

Project / T&M invoices

$40,000

Media or production pass-throughs billed (cost $20,500)

$22,000

Unbilled approved time at standard rates

$14,000

Bank deposits from clients

$118,000

Wrong books record the full $118,000 of deposits as "design income," with no AR, no pass-through COGS, and WIP ignored entirely. Right books break revenue out by type from the agency system's own invoice register, book COGS or a clearing account for the pass-throughs, show AR for whatever's still unpaid, match deposits to actual payments rather than one lump sum, and explain the $14,000 in WIP to management, accrued only if the firm's written policy actually requires it.

What "works with" outsourced bookkeeping means

A fit partner for these stacks will:

  1. Leave estimating, traffic, and time entry exactly where it already lives, in the agency platform.

  2. Use that platform's own invoices, or QuickBooks invoices built from synced time, as the actual revenue source.

  3. Reconcile the bank and any processors to those invoices specifically.

  4. Separate retainer, project, and pass-through activity in the GL, never blended into one line.

  5. Own payroll, overhead AP, and the full month-end close.

A poor fit ignores the agency OS entirely and tries to "clean up" from the bank feed alone.

How Numetix works with agency stacks

We work in your accounting system alongside Function Point, Workamajig, Productive, or Teamwork, whichever one actually runs the agency. AI helps match bank activity to client payments; a CPA-overseen team owns AR, pass-through coding, and the monthly close, so jobs, retainers, and cash all stay aligned.

A practical first step: send us last month's invoice register from your agency platform, the AR aging, and processor or bank deposits for the same period. We'll show you the matched totals and exactly where unbilled or unapplied cash is sitting. Book 30 minutes with our team. More on how Numetix serves agencies and professional services firms.

Frequently asked questions

Can the bookkeeper work only inside QuickBooks? They close in QuickBooks, but they still need the agency's own invoice and job reports every month. Bank-only bookkeeping understates the agency's real activity on every one of these platforms.

Is Workamajig our QuickBooks replacement? Only if the firm fully implements and genuinely relies on its accounting module as the actual GL. Many agencies still run QuickBooks alongside it; pick one system of record deliberately, not by default.

How should retainers actually be booked? Follow the contract: monthly service revenue as it's earned, or deferred revenue if billed in advance of the work. The agency tool's "retainer budget" figure is not automatically GAAP revenue just because it's visible in the dashboard.

What about media buys specifically? Bill and cost have to net correctly, agency revenue versus client pass-through, kept separate, so margin isn't overstated by accident.

Does Productive sync expense data to QuickBooks? No. Productive's own documentation confirms expenses generated inside Productive don't sync to QuickBooks through this integration at all. Build a separate, deliberate process for agency expense activity rather than assuming the integration covers it.

What should we send on day one? The chart of accounts, an integration diagram or process description, the current AR aging, the payroll calendar, and access to the job or retainer invoice reports.
