FreshBooks to QuickBooks Online: When a growing consultancy should switch
The short answer
FreshBooks works well when a consultancy is mostly invoicing clients, tracking expenses, and keeping the books simple. QuickBooks Online becomes the better system of record once the firm needs stronger double-entry reporting, more users, class or location tracking, project profitability inside the GL itself, real payroll depth, or an accountant workflow that assumes QBO from the start. There's no automatic one-click migration between the two; plan a real cutover with opening balances that actually tie, then run the firm in one system only.
Signals it's time to switch
Signal | Why FreshBooks starts to strain | What QuickBooks Online is for |
|---|---|---|
Multiple internal users and an outside bookkeeper | FreshBooks' own pricing confirms every plan, Lite, Plus, and Premium, includes exactly one user by default; additional team members cost $11 a month each on every tier. Only the custom-priced Select plan includes a second user free. The cheapest Lite tier doesn't even offer accountant access at all, that's Plus and above only | A shared company file with the roles and accountant access bookkeepers and CPAs already expect |
Need for class, location, or richer dimensions | Management reporting lives in spreadsheets instead of the ledger | Classes and locations, plus stronger report filters, available on QBO's higher tiers |
Project profitability tied to the books | FreshBooks gates this specifically to its Premium tier; delivery metrics and the GL drift apart below that | QuickBooks Online's Projects feature, confirmed directly by Intuit as available only on Plus and Advanced, not Essentials or Simple Start, gives genuine job-costing and project-level profit and loss |
Growing past FreshBooks' client caps | Lite caps at 5 billable clients, Plus at 50; only Premium and Select go unlimited, a real ceiling a growing consultancy can hit fast | No comparable client-count ceiling on QBO's own plans |
Formal AP, budgets, inventory, or complex multi-currency GL | Service invoicing is strong; full ledger controls lag what the firm actually needs | A broader accounting feature set and app ecosystem built for exactly this |
Lender, buyer, or CPA asks for QBO specifically | Exports and PDFs stop being enough for real diligence | The standard package reviewers and advisors already expect to see |
Stay on FreshBooks if the firm is still a small partnership, billing stays straightforward, and nobody is actively fighting the tool at close or during an audit.
What doesn't "just move"
There's no native, full historical clone from FreshBooks into QuickBooks Online. Typical paths are CSV or export imports, migration utilities, or a specialist conversion service. Expect to rebuild the chart of accounts design, product and service items, and recurring templates from scratch rather than carry them over automatically. Decide explicitly:
Opening balances only versus multi-year detail
Open invoices and bills versus a cleaned-up AR and AP
Whether bank history gets re-fed into QBO, or just summarized
Attachments, custom invoice layouts, and some automations usually get recreated by hand, not transferred.
Migration checklist
Before cutover
Pick a cutoff date; month-end is easiest.
Reconcile every bank and card in FreshBooks through that date.
Finalize invoices and record payments so AR and AP are genuinely real, not approximate.
Export customers, vendors, items, the chart of accounts, trial balance, open AR and AP, and whatever other detail the firm has agreed to keep.
Design the QBO chart of accounts and items for how the firm will report next year, not as a copy of old habits.
Connect payroll and time tools to QBO, or confirm the handoff plan, so the first live week isn't dual-entry chaos.
At cutover
Enter or import opening balances so the QBO trial balance matches FreshBooks exactly at cutoff.
Load open invoices and bills with correct open balances, not placeholders.
Prove it: AR total, AP total, bank book balances, and equity or retained earnings all explain the FreshBooks equity story.
Turn FreshBooks read-only; every new invoice and expense goes only into QBO from this point on.
First 30 to 60 days
Close month one with extra review specifically on AR, AP, and undeposited funds.
Train the team on QBO invoicing and expense coding before they need it under pressure.
Keep FreshBooks accessible for historical lookups until tax season is fully done.
Worked failure example
A consultancy at the point of switching:
Line item | Amount |
|---|---|
FreshBooks AR | $62,400 |
FreshBooks cash (book) | $41,200 |
Unbilled work tracked only in a spreadsheet | $18,000 |
After a rushed import, QBO shows cash of $41,200 but AR of only $48,900, because several open invoices got entered as already-deposited payments, or skipped entirely. Revenue for the first QBO month looks fine on paper, since it's built from new invoices, but collections and aging no longer match client schedules at all. The firm ends up spending the entire quarter rebuilding AR from old FreshBooks PDFs by hand.
A correct cutover would have listed every open invoice, imported or entered each one exactly once, and tied AR to the FreshBooks aging report before go-live. The $18,000 in unbilled work stays outside the GL entirely, unless the firm's actual policy requires a WIP accrual for it.
Questions to ask before you pay for conversion
Question | Why it matters |
|---|---|
Opening balances only, or full history? | Cost and timeline both scale directly with how much detail is requested |
Who actually rebuilds items and the chart of accounts? | Reporting quality depends entirely on that design work |
How will open AR and AP be proved, specifically? | This is exactly how the aging mismatch in the example above happens |
What happens to recurring invoices and payment links? | Determines the client's actual experience in week one |
Who runs the first month-end close inside QBO? | Migration itself is not the same job as ongoing bookkeeping |
How Numetix helps after the switch
We don't replace a data-conversion specialist for bulk historical migration. We run the books in QuickBooks Online once a firm is actually live: bank and credit-card activity categorized, AR and AP kept disciplined, and the monthly close owned by a CPA-overseen team, so the consultancy doesn't quietly outgrow QBO the same way it outgrew FreshBooks.
A practical first step: if a switch is already underway, send us the FreshBooks trial balance and AR aging at the planned cutoff, plus the draft QBO opening-balance plan. We'll show you exactly what has to tie before the first client gets invoiced in QuickBooks. Book 30 minutes with our team. More on how Numetix serves professional services firms.
Frequently asked questions
Can we run FreshBooks and QuickBooks Online together for a while? Only with a strict rule in place: exactly one system accepts new transactions. Parallel live invoicing in both creates duplicate revenue and duplicate AR almost immediately.
Do we need QBO Plus or Advanced? Many growing consultancies need Plus specifically for project or class features, since Projects doesn't exist below Plus at all. Advanced matters more when user limits and deeper automation are the actual bottleneck. Match the plan to real reporting needs, not marketing labels.
Should we move every old invoice over? Often no. Open items and a solid opening trial balance matter far more than five years of accumulated clutter. Keep FreshBooks read-only for historical lookups instead.
What about time tracking after the switch? QBO's own time options feel different from FreshBooks' built-in experience. Many firms add Harvest, BigTime, or a similar tool and sync invoices into QBO instead of relying on QBO's native time tracking alone.
When's the best cutover date? Month-end, or the start of a fiscal year, after reconciliations are actually done, never mid-billing-cycle.
Is FreshBooks really single-user on every plan? Yes, with one exception. Lite, Plus, and Premium all include exactly one user by default, with additional team members at $11 a month each. Only the custom-priced Select plan includes a second user at no extra charge. That's worth knowing before a growing team assumes seats will scale cheaply.
