PracticePanther and QuickBooks Online: Keeping trust and operating books in sync

The short answer

PracticePanther and QuickBooks Online stay in sync when three things hold: every PracticePanther bank account is mapped to the right QuickBooks account, trust money posts to a trust liability and never to income, and someone ties PracticePanther's client trust balances to QuickBooks every month.

The sync runs one way, from PracticePanther to QuickBooks. It moves invoices, payments, trust activity, expenses and checks. It does not check whether any of it landed correctly, and it never pulls anything back from QuickBooks.

This post covers what each PracticePanther action becomes in QuickBooks, the setup to finish before your first sync, why syncs fail, and a month-end routine with a worked example. For how PracticePanther compares with Clio, MyCase and Smokeball, see our hub on bookkeeping for Clio, MyCase, PracticePanther and Smokeball.

How the sync works

The integration pushes PracticePanther activity into QuickBooks Online and never the reverse. Work done in QuickBooks, such as payroll, rent or a correcting entry, does not push back to PracticePanther (PracticePanther help center).

PracticePanther's help center lists QuickBooks Online Simple Start, Essentials and Plus as supported. QuickBooks Desktop is not supported at all (PracticePanther). If your firm is on QuickBooks Online Advanced, confirm compatibility with PracticePanther before connecting.

Setup takes three steps:

  1. Connect PracticePanther to your QuickBooks Online company from the integration settings page.

  2. Link each PracticePanther bank account, operating and trust, to its matching QuickBooks bank account. Accounts left unmatched do not sync.

  3. Decide whether operating payments go straight to the bank account in QuickBooks or to Undeposited Funds.

Three rules from PracticePanther's own documentation are worth knowing before you start:

  • One QuickBooks company per PracticePanther account. Switching between QuickBooks companies can cause significant problems with the integration.

  • Credit card accounts cannot be linked. Only checking and savings accounts map across. Trying to link a QuickBooks credit card account causes errors.

  • Edits and deletions flow through. Changing, paying or deleting an invoice or payment in PracticePanther updates or removes it in QuickBooks too. So an edit to an old invoice can change a month your bookkeeper has already closed. Agree on who is allowed to edit or delete past invoices.

What each PracticePanther action becomes in QuickBooks

Trust and operating money take different paths. Operating payments clear receivables; trust deposits create a liability, because the money still belongs to the client.

In PracticePanther

In QuickBooks Online

Generate an invoice

A matching invoice, raising accounts receivable

Bill time, flat fees or expenses

Items in Products and Services, each posting to the account you assign it

Take an operating payment

A payment against the client's receivable, deposited to the operating bank or Undeposited Funds

Deposit, withdraw or transfer in operating

The same transaction in the mapped operating bank account

Take a trust payment

A deposit to the mapped trust bank account, credited to Trust Liabilities and tagged to the client

Record a hard cost

An expense, entered as a printable check with the payment number, date and amount

Edit or delete an invoice or payment

The QuickBooks copy is updated or removed

Because each trust transaction is tagged to a QuickBooks customer, you can see trust balances by client: run a Balance Sheet and display columns by Customers (PracticePanther). That report is your QuickBooks side of the client-ledger check.

Two rows deserve a second look. Undeposited Funds only makes sense for cash and checks you carry to the bank; card payments and wires are already in the bank and do not show there (PracticePanther). And because hard costs arrive in QuickBooks as checks, the same payment will also show up in your bank feed. Match it to the synced check rather than adding it again, or the cost is counted twice.

Set up QuickBooks before the first sync

The sync copies whatever structure it finds. Fix the QuickBooks side first, because cleaning up after hundreds of synced transactions takes far longer.

  • A separate trust bank account, set up as a bank account in QuickBooks and connected to its bank feed.

  • A Trust Liabilities account under liabilities, with nothing but synced trust activity posting to it.

  • One customer per client, named the same way as in PracticePanther. Merge duplicates now, or that client's trust history will split across two records.

  • Every synced item mapped to the right account. PracticePanther creates items for time, flat fees and expenses; open the Products and Services list and assign each one to the income or cost account you want (PracticePanther).

  • Opening trust balances that match PracticePanther, client by client, so QuickBooks and PracticePanther start from the same number.

  • A closing date in QuickBooks after each month-end, so later edits to closed months need a deliberate override.

Firms outside the US have one more step: if you do not use US dollars, PracticePanther asks that you create the QuickBooks Online account before connecting it.

Why syncs fail, and how to fix them

Nearly every problem in the table below starts with setup or a habit, not a software bug. A synced invoice or payment shows a QB icon in PracticePanther; anything still showing "Sync to QB" has not reached QuickBooks (PracticePanther).

What you see

Likely cause

Fix

Older invoices and payments missing after you first connect

The sync only picks up new activity on its own

Select them in PracticePanther and run a batch "Sync to QB"

Payments missing for one bank account

That PracticePanther account was never matched to a QuickBooks account

Match it in the integration settings

Errors when linking accounts

A QuickBooks credit card account was selected

Link checking and savings accounts only

Duplicate customers or transactions in the wrong company

The firm switched QuickBooks companies

Stay on one company. Clean up before reconnecting

A single invoice will not sync

The connection dropped

Check the connection, cancel and re-enable the sync, then force a sync from the invoice's Actions menu

A closed month's totals changed

Someone edited or deleted an old invoice or payment in PracticePanther

Set a closing date in QuickBooks and limit who can edit past invoices

A hard cost counted twice

It was added from the bank feed instead of matched to the synced check

Match the bank line to the synced check and delete the duplicate

PantherAccounting Plus or QuickBooks: pick one ledger

Panther Accounting Plus or Quick Books Pick

Since April 2026, PracticePanther has its own general ledger. PantherAccounting Plus adds a customizable chart of accounts, trust and operating accounting, a guided three-way reconciliation wizard, bank and credit card connections through Plaid, and a profit and loss, balance sheet, cash flow statement and trial balance (PracticePanther release notes; PracticePanther).

It is available only on the Business Pro plan, which LawNext reported at $25 per user per month above the standard Business plan (LawNext).

This changes the QuickBooks question for PracticePanther firms. You now choose between two setups:

PracticePanther + QuickBooks Online

PantherAccounting Plus

What you should not do is run both as live ledgers. If PantherAccounting Plus becomes your ledger, stop treating QuickBooks as a second source of truth. One more detail for firms switching: when starting balances are incomplete, PantherAccounting Plus uses placeholder entries for retained earnings and deferred revenue to balance the books, to be cleaned up later with a bookkeeper (LawNext). Book that cleanup before you rely on its financial statements.

MyCase firms face a similar choice with MyCase Accounting. See what MyCase Accounting handles and what goes to your general ledger.

Month-end: tie PracticePanther to QuickBooks, client by client

On the QuickBooks route, month-end comes down to one test: PracticePanther's trust balance for each client must equal that client's Trust Liabilities balance in QuickBooks, and the total must equal the reconciled trust bank balance.

Here is a firm with three trust clients at September 30. The trust bank statement shows $27,300, with one $800 check still outstanding, so the adjusted bank balance is $26,500.

Total

The totals agree with each other and with the bank, so a quick check would pass. The client view shows the problem: someone created "Chen, M." by hand in QuickBooks and moved one synced $2,500 trust deposit onto that duplicate record. Merge the two customers and Chen's QuickBooks balance returns to $6,500. Left alone, it misstates what you hold for Chen in any report built from QuickBooks.

The full routine, in order:

  1. Batch-sync anything in PracticePanther still showing "Sync to QB".

  2. Reconcile the operating account in QuickBooks against the bank statement.

  3. Reconcile the trust bank account in QuickBooks the same way.

  4. Run the Balance Sheet by Customers and compare each client's trust balance to PracticePanther, as in the table above.

  5. Run PracticePanther's three-way reconciliation and keep it with the QuickBooks reconciliation reports.

  6. Check that earned fees billed against trust have actually moved to operating.

  7. Set the QuickBooks closing date for the month.

Step 5 is the one a state bar will ask about. Our explainer on what a three-way reconciliation actually requires covers what the report must show.

How Numetix works with PracticePanther firms

Numetix runs the month-end routine above for founder-led law firms on PracticePanther. AI handles matching and categorization; a CPA-overseen finance team reviews the client-by-client trust tie-out and signs off the close.

For firms on QuickBooks, we start with the setup checklist: bank account matching, item mapping, duplicate customers and opening trust balances. For firms moving to PantherAccounting Plus, we help clear the placeholder balances from onboarding so the financial statements can be trusted from the first month.

A practical first step: send us last month's PracticePanther trust balances by client and your QuickBooks Balance Sheet by Customers. We will show you whether they agree and, if not, which clients are off and why. Book 30 minutes with our team.

Frequently asked questions

Is the PracticePanther QuickBooks sync two-way? No. It runs from PracticePanther to QuickBooks Online only. Changes made in QuickBooks never reach PracticePanther.

Does PracticePanther work with QuickBooks Desktop? No. It integrates with QuickBooks Online only. PracticePanther's help center lists Simple Start, Essentials and Plus.

Where do PracticePanther trust payments go in QuickBooks? They post as a deposit to the trust bank account you mapped and as a credit to Trust Liabilities, tagged to the client. Run a Balance Sheet by Customers to see trust balances per client.

Why didn't my existing invoices sync after I connected? Invoices and payments created before the connection need a manual sync. Select them in PracticePanther and choose "Sync to QB".

Can I link a credit card account to PracticePanther? Not through the QuickBooks integration. PracticePanther supports checking and savings accounts only, and linking a credit card account causes errors. PantherAccounting Plus connects credit cards through Plaid instead.

Do I still need QuickBooks if I have PantherAccounting Plus? Not necessarily. PantherAccounting Plus includes a general ledger and financial statements. Keep QuickBooks only if your CPA, payroll or other tools depend on it, and do not run both as live ledgers.
