IVANS downloads and your accounting: What carrier download data does and doesn't reconcile

The short answer

IVANS Download moves carrier data into the agency management system so staff don't have to re-key every policy change or commission line. For accounting specifically, the useful feed is mainly Direct Bill Commission Statement (DBCS) data and the policy activity that explains production. Downloads don't replace bank deposits, trust reconciliations, or a general ledger. They reduce manual entry in the AMS; the books still need a deliberate post and a real proof to cash.

What IVANS typically delivers

Download type

Lands in

Accounting use

Policy download

Client and policy records in the AMS

Production and endorsement context; not automatic GL revenue

Direct Bill Commission Statement (DBCS)

An electronic commission statement, confirmed by multiple carriers directly as an automated version of what used to be a paper statement

Reconcile and post direct-bill commission income specifically

Claims / eDocs (when enabled)

Claims files and documents

Operations and E&O support; rarely a direct entry in the books

Carriers and AMS platforms differ on which lines and transaction types are actually certified for download. Setup usually involves an IVANS identity, such as a Y-Account, carrier enrollment, and AMS-side download configuration, confirmed consistently across multiple carriers' own IVANS onboarding pages.

What should reconcile

DBCS to AMS commission posting. Downloaded commission transactions should be matched to the agency's expected direct-bill commissions, then posted according to the AMS's own workflow. Vertafore's own AMS360 documentation confirms exactly how this works in a well-run setup: "the reconciliation task focuses on only the transactions that do not match between company and agency records" (Vertafore), exception matching rather than line-by-line busywork, when the download itself is clean.

Posted commissions to the general ledger. After the AMS accepts the statement, commission income in QuickBooks, or another GL, should equal what actually got posted, not the full premium shown on the policy download.

Carrier statement or portal to download. When a carrier's PDF or portal statement disagrees with what came through the download, treat the carrier statement and the bank deposit as the cash truth, and clear exceptions directly inside the AMS.

Bank deposits to commission income (direct bill). Operating-account deposits from carriers should tie to posted commission and fee income, after chargebacks and timing differences, never to the policy premium totals shown on the download.

What will not magically reconcile

Expectation

Reality

Policy download equals revenue

Premium on a dec page is not agency income under direct bill

Every commission on the carrier portal appears in the download

Some transaction types are certified for download and some aren't, varying by carrier and AMS; discrepancies are common enough that carriers build dedicated channels for reporting them

Download total equals this week's bank deposit

Payment cycles, holds, and multi-statement netting all differ

Agency-bill premiums get handled like DBCS

Agency-bill cash usually runs through trust; DBCS is specifically built for direct-bill commission automation, not trust activity

IVANS posts QuickBooks automatically

The download updates the AMS only; GL posting is still an agency process, whether that's sync, export, or manual entry

Carriers themselves acknowledge this reality directly. One carrier's own IVANS FAQ explicitly tells agencies to email their team if they notice a mathematical discrepancy in a payout amount, confirming that download-to-portal mismatches are a known, expected occurrence with a defined manual path, not a rare edge case.

Worked example

Carrier direct-bill activity for one month:

Line item

Amount

Portal commission statement

$14,200

IVANS DBCS accepted in the AMS

$13,850

Exception, not in the download

$350

Bank deposit from carrier

$13,500

Chargeback on deposit detail

($350)

Sound process: reconcile the DBCS to the portal, and post $13,850 from the download plus $350 handled manually, totaling the full $14,200. Record the $13,500 deposit in the GL against commission AR or income clearing exactly as designed. Then book the $350 chargeback so income net and cash both still explain cleanly.

Broken process books the $13,500 as "commission" straight from the bank alone, ignores the $350 exception and the $14,200 statement entirely, and leaves producer reports, the AMS, and tax income never actually meeting each other.

Month-end control list

  1. Confirm download jobs actually ran for each major carrier, or note any outages directly.

  2. Complete the DBCS reconcile-and-post step inside the AMS for the period.

  3. Clear portal-versus-download exceptions with a short, written log.

  4. Post or sync commission totals through to the GL.

  5. Match carrier deposits to posted commissions and chargebacks specifically.

  6. Keep policy download issues inside operations; never "fix" them by forcing premium into income.

How Numetix works with IVANS-fed agencies

How Numetix Works With Ivans Fed Agencies

We work in the accounting system already in use, alongside the AMS itself. AI helps categorize operating-account activity; a CPA-overseen team ties commission statements and deposits to the GL, so download convenience never quietly becomes unexplained income.

A practical first step: send us one carrier's portal statement, the AMS commission post total, and the related bank deposit. We'll show you the three-way bridge and the exception pattern behind it. Book 30 minutes with our team. More on how Numetix serves independent insurance agencies.

Frequently asked questions

Does turning on IVANS mean commissions are already booked? No. It means commission data can reach the AMS for reconciling and posting. The GL still needs the actual income entry, every time.

Why is policy download still valuable for accounting if it's not revenue? It keeps the book accurate for audits of production, and for explaining the endorsements and cancellations that drive commission changes in the first place, not as a revenue subledger on its own.

Should we post from the download or from the bank? Post from reconciled commission statements, download plus any exceptions. Use the bank specifically to prove cash and to clear AR or clearing balances.

What about contingent or bonus commissions? These often sit outside routine DBCS entirely. Record them when the carrier actually documents and pays them; don't assume they ride along automatically with the monthly download.

Who should own exceptions? Agency operations or accounting should own a monthly exception list, explicitly, by name. Unowned exceptions become permanent drift between the AMS and the GL.
